Notification of Annual General Meeting

Dear Members,

We are pleased to announce that the Annual General Meeting (AGM) of the Irish Ice Hockey Association (IIHA) will take place on Sunday 14th August 2011 from 2:30 pm to 6:00 pm at the Roganstown Hotel & Country Club in Swords, Co. Dublin.

All members are welcome and encouraged to attend. Registration for the AGM will take place from 1:30 pm until 2:15 pm at the venue on the day. Photo identification will be needed for all those wishing to vote and who are entitled to vote. Acceptable forms of identification are Passport, Driving Licence and Garda Age Card. For any questions in relation to other forms of identification, please contact the IIHA at office@iiha.org prior to the AGM.

The Executive Committee and Directors have requested that no alcohol be consumed while the meeting is in progress.

The Agenda for the meeting is currently available from the IIHA website, www.iiha.org.

The main item on the agenda for the AGM is the election of positions on the Executive Committee and also the Director positions. Specifically, there are five Executive Committee positions and three Director positions open.

In accordance with the IIHA’s Memorandum & Articles of Association (M&A) and what the members agreed upon at the 2010 AGM, all five positions on the Executive Committee are open for election. This year, the position of President will be for a two year term while all other Executive Committee positions will be for a 1 year term. This is to reflect what is specified in the IIHA’s M&A so that the subsequent elections for all Executive Committee positions will be for a two year term while elections of the President shall occur on “odd” years and elections to the other Executive Committee positions shall occur on “even” years to help maintain continuity of responsibility on the Executive Committee.

Elections will be held for the Executive Committee positions outlined below. Candidates for the Executive Committee must submit a letter of application by Registered Post to the address below which must be post marked no later than Monday, 1st August 2011. This letter must include the candidate’s full name, date of birth, postal address, telephone number, any club affiliation and the Executive Committee position they are applying for. Executive Committee positions available for election are:

1.President
2.Vice-President
3.Treasurer
4.General Secretary
5.Director of Playing Operations

Elections will be held for the Director positions outlined below. Candidates for the Director positions must submit a letter of application by Registered Post to the address below which must be post marked no later than Monday, 1st August 2011. This letter must include the candidate’s full name, date of birth, postal address, telephone number, any club affiliation and the director position they are applying for. Director positions available for election are:

2.IIHA Director
3.IIHA Director

Each candidate for any position must be nominated in writing by one Full Member and seconded by another Full Member. A nomination letter containing the signatures of both the proposer and seconder must either be sent along with the candidate’s submission letter or may be sent separately by Registered Post to the below address which must be post marked no later than Monday, 1st August 2011. Once received, nominations for the above positions will appear on www.iiha.org prior to the AGM.

IMPORTANT NOTES

All candidates will receive notification once their application has been received by the IIHA. Should you not receive such notification within seven days of sending your application then please contact the IIHA immediately. We strongly urge everyone to keep their receipt as proof of postage along with the tracking number.

In accordance with article 36.1 of the IIHA’s M&A, in order to seek election as President a candidate must have served on the Executive Committee previously and in order to seek election to any of the other positions on the Executive Committee a candidate must have been a Full Member of the IIHA for one year prior to the AGM. No Club shall have more than one Member put forward for or elected to the Executive Committee at any one time.

In accordance with the M&A, only those who are Full Members are entitled to vote at the AGM. As per the M&A a Full Member means “a person who has been a member for a minimum of 12 months and has applied to become and has been admitted as a Full Member of the Association.”

**PLEASE NOTE** Those who have not renewed their membership for the 2010/2011 season may do so up until Saturday, 13th August 2011. New members may also become members up until Saturday, 13th August 2011. However, all submissions for renewal and new membership are subject to Executive Committee approval in accordance with article 5.1 of the IIHA’s Memorandum & Articles of Association.
